Thank you for using our Chrome extension (the “Extension”). This Privacy Policy explains how we collect, use, share, and safeguard your personal information when you use our Extension. By installing or using the Extension, you agree to the terms of this Privacy Policy.

1. Who We Are

Apana (“we,” “us,” or “our”) operates this Extension to help users sync their upcoming EOIR Case Hearing calendar information with their personal Google or Microsoft Outlook calendars. We are based in the United States and currently offer our services exclusively to U.S. users.


2. Information We Collect

2.1. Email Address

What We Collect: When you sign in via Google or Microsoft Outlook (using OAuth authentication) or subscribe through our service, we collect your email address.

How We Use It:

  1. To set up and manage your Extension account.
  2. To communicate with you regarding your subscription, account issues, and important updates (e.g., changes to this Privacy Policy).
  3. For customer support, billing inquiries, and other service-related messages.

2.2. Calendar and Case Data

Calendar Access: With your explicit permission, we use the Google Calendar API or Microsoft Outlook Calendar API to read and write calendar events in your account.

  1. Read: The Extension may fetch existing events to ensure proper syncing and to avoid duplications.
  2. Write/Delete: The Extension can create or remove calendar events corresponding to upcoming EOIR Case Hearing schedules, per your request.

Case Information: When you click the sync button on the EOIR Case Hearing calendar page (hosted by the Department of Justice), the Extension “scrapes” your next six months of scheduled cases from that public user interface and automatically adds (and, if necessary, removes) entries in your Google or Microsoft calendar.

2.3. Payment Information

Stripe: We use Stripe, a third-party payment processor, for subscription purchases. We do not collect or store your full payment details (e.g., credit card numbers) on our servers. Stripe may collect and process this information, including additional details such as your IP address or device identifiers for fraud prevention.

2.4. Automatically Collected Data (if any)

If the Extension collects minimal diagnostic or usage information (e.g., error logs), we will only do so to diagnose performance issues and improve reliability. We will not collect your browsing history, beyond what is necessary to interact with the EOIR site or to provide calendar syncing functionality.


3. How We Use Your Information

We use the personal information we collect for the following purposes:

  1. Provision of Services: To authenticate your account, facilitate calendar syncing, and process payments for your subscription.
  2. Communication: To respond to your inquiries and provide customer support.
  3. Improvements and Development: To enhance our Extension's features and troubleshoot technical issues.
  4. Legal and Compliance: To comply with applicable laws, regulations, and industry standards; to enforce our Terms of Service; or to protect our rights.

We do not share your personal information with unauthorized third parties or for advertising/marketing purposes.

6. Data Retention and Security

  1. Data Retention:

    • Email Addresses: We retain your email address as long as your account is active or as needed to provide services. If you request deletion, we will remove your email from our database, unless we need to retain certain information for legal or legitimate business purposes (e.g., transaction records).
    • Case Information: The Extension does not permanently store or retain your EOIR case information. Once synced to your calendar, the data is only accessible within your Google or Microsoft account.
  2. Security Measures:

    • We utilize industry-standard security measures (including encryption for data in transit).
    • We restrict access to personal data only to employees or service providers with a legitimate need.
    • Despite our efforts, no security measure is perfect. We cannot guarantee absolute security against all threats. If we become aware of a data breach that affects you, we will notify you as required by applicable laws.

7. Children's Privacy

This Extension is not directed to, nor intended for use by, individuals under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such data, please contact us at apana2025@apana.co, and we will delete it as soon as possible.


Our Extension may contain links to or integrations with third-party websites, services, or tools, such as Google's or Microsoft's OAuth login pages, and the EOIR Case Hearing website. We do not control these third parties and are not responsible for their privacy practices. We encourage you to review the privacy policies of any external sites or services you interact with.


9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you via email (to the address on file) or by prominently posting a notice within the Extension. Your continued use of the Extension after these changes become effective indicates your acceptance of the updated Privacy Policy.


By using our Extension, you consent to our processing of your personal information as described in this Privacy Policy now and as amended by us. If you do not agree with any part of this Privacy Policy, you should discontinue use of the Extension.
